How TalentHub collects, uses and protects personal information in its current Zambia-first operating model, with notes on future international mobility functionality.
TalentHub Global™ — Privacy Policy
Version: 1.0
Effective date: 14 September 2026
Operator: TalentHub Global™ ("TalentHub", "we", "us") operates the TalentHub recruitment and career platform.
This Privacy Policy describes how TalentHub collects, uses, stores and shares personal information in its current Zambia-first operating model. Where future international mobility functionality is referenced, it is clearly identified as functionality that may be introduced and is not currently represented as available.
1. Scope
This Policy applies to:
- Candidates seeking employment, career tools and related services;
- Employers and recruiters posting vacancies and reviewing candidates;
- Platform users interacting with TalentHub tools, content and notifications.
It does not apply to third-party websites, job postings, or services that TalentHub links to but does not operate.
2. Information We Collect
2.1 Candidate profile information
- Name, contact details (email, phone), location, province, nationality, date of birth, gender, NRC number;
- Headline, biography, skills, languages, education, professional memberships, certifications, references and portfolio links;
- Employment history;
- Availability, salary expectation and preferred job types, locations and industries.
2.2 Employer information
- Company name, industry, size, website, description, mission, benefits, social links;
- Contact name, contact email and contact phone;
- Location and province.
2.3 CVs and uploaded documents
- Curriculum vitae, cover letters, qualifications, certificates, identification documents, portfolio items and references uploaded to the Document Vault.
2.4 Application information
- Applications submitted to vacancies, including application status updates and employer notes.
2.5 Subscription and payment information
- Subscription plan, billing cycle, payment method category (for example mobile money or card), transaction references and payment status. TalentHub does not store full card or mobile-money credentials on its own infrastructure; payment processing is handled by a third-party payment provider.
2.6 Platform usage information
- Pages visited, features used, AI session metadata, device and technical information such as browser type, and approximate location derived from network data.
3. How We Use Information
3.1 AI-assisted processing
- TalentHub uses AI-assisted tools to provide services such as CV feedback, interview coaching, career advice and candidate-employer matching. These tools provide recommendations only and do not make final employment decisions.
3.2 Job matching and candidate shortlisting
- Candidate profile information is processed to suggest matches between candidates and vacancies and to support employer shortlisting. AI-assisted matching is a recommendation aid; employers make their own recruitment decisions.
3.3 Employer access
- Employers may view candidate profiles and documents that candidates have made available or shared for the purpose of a specific application or opportunity. Employers cannot access a candidate's private documents merely by guessing a document identifier.
3.4 Document storage
- Documents uploaded to the Document Vault are stored with a preference for private storage. Access to private documents is provided through time-limited signed URLs granted only to the document owner or an authorised administrator, and access is logged.
3.5 Verification activities
- TalentHub may verify profile information, documents and employer details. Verification status is displayed on the relevant profile. A verification status does not constitute a guarantee of accuracy or of any employment outcome.
3.6 Future international mobility functionality
- TalentHub may introduce features to support international recruitment and mobility. These features are not currently available. Where such features are introduced, international visibility and mobility will require explicit candidate opt-in and will not be enabled by default. No candidate will become internationally visible unless they have actively chosen to do so.
4. Consent and Lawful Processing
- Where consent is the basis for processing, consent is collected explicitly (for example by accepting this Policy or enabling a specific opt-in such as international mobility).
- Candidates may withdraw consent where applicable; withdrawal does not affect processing already carried out.
- TalentHub endeavours to process personal information fairly, for specified and legitimate purposes, and to limit processing to what is necessary.
5. Data Sharing
5.1 Service providers
- TalentHub shares information with service providers that support platform operations (for example hosting, payment processing, AI services and email delivery). These providers process information on TalentHub's behalf and are expected to protect it appropriately.
5.2 Employers
- Information candidates include in applications or make available for matching may be visible to the relevant employer.
5.3 Legal and safety
- TalentHub may disclose information where required by law or to protect the rights, safety or security of users or the platform.
6. Security
- TalentHub uses access controls, private document storage with time-limited signed access, role-based permissions and audit logging for sensitive actions.
- No method of transmission or storage is completely secure; TalentHub cannot guarantee absolute security.
7. Data Retention
- Account and profile information is retained while an account is active and for a reasonable period afterwards for legitimate purposes such as record-keeping, dispute resolution and legal compliance.
- Candidates may request deletion of their information subject to legal and operational obligations.
8. Candidate Rights
Depending on applicable law, candidates may have rights to:
- Access the personal information TalentHub holds about them;
- Request correction of inaccurate information;
- Request deletion where appropriate;
- Withdraw consent where consent is the basis of processing;
- Object to certain processing.
9. Profile Visibility
- Candidate profiles are visible to employers for matching purposes to the extent the candidate has made information available. Private documents are not shared unless the candidate includes them in an application or explicitly shares them.
- International visibility is off by default and requires explicit opt-in.
10. International Data Considerations
- In the current Zambia-first model, processing is primarily conducted within the Zambian operating environment.
- If international mobility features are introduced, information may be made available to employers in destination countries only where the candidate has opted in, and subject to the safeguards described in this Policy.
11. Cookies and Technical Data
- TalentHub uses essential technical data and, where applicable, cookies or similar technologies for functionality, security and analytics. Where non-essential cookies are used, users will be able to manage preferences.
12. Changes to This Policy
- TalentHub may update this Policy. Material changes will be reflected in a new version with an updated effective date. Continued use after changes take effect constitutes acceptance of the updated Policy.
13. Complaints and Contact
- Questions or complaints about this Policy or personal information handling should be directed to TalentHub through the platform's contact channel. TalentHub will review and respond to concerns appropriately.
This Policy is a live document. It does not claim regulatory certification, legal approval, or compliance status that TalentHub has not formally obtained. Country-specific provisions may apply where TalentHub operates across multiple jurisdictions.
